For each repair job, open the Invoice sheet and fill in the customer details and vehicle information at the top. Work through the labor section first — enter each repair operation with a description, the technician who performed it, hours billed, and the rate. Then do the same for parts: part number, description, quantity, and unit price. The subtotals, shop supply fee, tax, and total update automatically. When the invoice is finalized, print or export it as a PDF and hand it to the customer.

A proper auto repair invoice separates labor and parts clearly, which matters for several reasons. Customers expect to see both, and many insurance-related repairs require itemized labor and parts on separate lines for reimbursement. For your own financials, knowing your labor-to-parts ratio helps you understand your shop's productivity — a healthy independent shop typically runs a labor-to-parts ratio close to 1:1, and if parts revenue is consistently much higher or lower, it usually indicates a pricing or efficiency issue worth investigating. The effective labor rate (total labor billed divided by hours clocked by technicians) is another number that only becomes visible when you're tracking labor lines consistently.
