How to Use This Auto Repair Invoice Spreadsheet
Start by opening the Settings sheet and entering your shop's information — business name, address, phone, and email — along with your default labor rate, tax rate, and shop supply fee. This takes about five minutes and everything flows into the invoice automatically. Then populate the Parts & Labor Lookup sheet with your most common jobs and parts so your service writers have a reference list to pull from during the write-up.
For each repair job, open the Invoice sheet and fill in the customer details and vehicle information at the top. Work through the labor section first — enter each repair operation with a description, the technician who performed it, hours billed, and the rate. Then do the same for parts: part number, description, quantity, and unit price. The subtotals, shop supply fee, tax, and total update automatically. When the invoice is finalized, print or export it as a PDF and hand it to the customer.
